Start with the facilities need
Describe the challenge or improvement in the district’s own terms. Explain what the facility needs to support and what is motivating the work. A clear statement of the need gives every later conversation a useful reference point.
- The facility or program involved
- The intended improvement or outcome
- The district stakeholders who should be part of the discussion
Share the current position
A management conversation can begin at any stage. Identify what has already happened, which consultants or contractors are involved, and what information is available. Gaps can be discussed without waiting for a complete package.
- Current project stage and available documents
- Known milestones or timing requirements
- Budget assumptions already under discussion
Identify where support would help
The most useful scope is specific about responsibilities. Discuss which coordination tasks are already assigned, where district capacity is stretched, and which decisions need additional organization. This helps define how SJB can fit into the existing project structure.
- Current management responsibilities
- Recurring coordination challenges
- The next decision or milestone needing attention
These discussion points are general guidance for a project conversation. The appropriate process and responsibilities depend on the district, the assignment, and the applicable project agreements.
