01

Record the question clearly

An open item is easier to manage when it states what needs to be resolved. Capture the issue, the relevant project context, and the information still needed. Distinguish a request for information from a decision the district needs to make.

  • What needs an answer?
  • What information is missing?
  • Who needs to participate?
02

Connect the answer to timing

A decision may affect a design milestone, a procurement activity, or work in the field. Identify that connection so the project team understands why the item matters and when it needs attention. Keep changing assumptions visible in the discussion.

  • The upcoming milestone or activity
  • Dependencies on other participants
  • The date or sequence that needs review
03

Close the loop

Record the agreed action and the person responsible for follow-up. When an item is resolved, make the outcome available to the people whose work depends on it. The value of a decision record is in the continuity it provides.

  • The agreed direction
  • The next responsible party
  • How the update reaches affected participants

These discussion points are general guidance for a project conversation. The appropriate process and responsibilities depend on the district, the assignment, and the applicable project agreements.
